Gewiss
A major player in the Italian electrotechnical sector, Gewiss discusses the process of digitising travel and expense claims processes undertaken together with Ccelera through the adoption of the SAP platform.
CHALLENGE
Company travel was previously managed by the administrative office through email exchanges and direct contacts with the travel agency.
In initiating the implementation process, it was necessary to have a clear vision of the technical and organisational steps to connect the various partners and contacts with the Finance and HR teams, without excluding the company’s IT team, whose input was crucial in organising the necessary integrations.
SOLUTION
Relying on SAP Concur proved to be the most solid option to ensure an integrated and comprehensive product, allowing direct collaboration with internal teams and partners such as travel agencies and credit card issuers, as well as integration with SAP’s operating accounting systems.
CONCUR is a solution that requires the collaboration of the employee who independently manages the various travel-related activities, benefiting from the advantages implemented and becoming the initiator of change. Digitisation has avoided the transmission and physical movement of paper documents, and digitised archiving of documentation has enabled them to be maintained and easily retrieved in the event of tax audits. The careful prior classification of cost items in the implementation of Concur and the structuring of appropriate statistics enabled management to keep expenses under control and to be able to make appropriate decisions based on the data provided by the platform.
“The digitisation of the approval flow has made it possible to avoid the transmission and handling of paper documents between the various company sites. This includes digitised archiving of the documentation, which allows it to be maintained over time, with ease of retrieval in the event of audits by the tax authorities”
